Frequently asked questions

If you have anything else you want to ask, reach out to us. reach out to us.

    • How does Notatio Copilot handle real-time transcription?

Notatio Copilot uses advanced speech-to-text models to transcribe conversations in real time. The audio is processed on secure servers, and the resulting text appears in your clinical note within seconds, minimizing the need for post-visit documentation.

    • What is your Linked Evidence Feature and why is it important?

Our Linked Evidence Feature ties every sentence in your final note back to the corresponding segment of the transcript. This makes it easy to verify clinical details quickly, ensuring accuracy and transparency in your documentation.

    • How do you ensure HIPAA and PIPEDA compliance?

We encrypt all data in transit and at rest, and our platform’s infrastructure is designed to meet HIPAA and PIPEDA standards. We conduct regular security audits and maintain strict access controls so only authorized clinicians can view patient data.

    • Is audio stored or retained after the transcription is done?

By default, we do not retain the raw audio. However, if clinicians prefer to keep an audio record for enhanced verification via our Linked Evidence Feature, Notatio Copilot can optionally store encrypted audio on secure servers. This setting is off by default, but can be enabled to let you review the exact audio snippet when referencing any segment of the transcript.

    • How is patient consent handled?

You can customize how to obtain consent—verbally at the start of a visit, via intake forms, or with posted signage. Notatio Copilot will log and timestamp the consent information so there’s a clear record of patient acknowledgment.

    • Does Notatio Copilot store any sensitive data for model training?

We do not use your personal health information for model training. Our models are developed using de-identified data, and any session data is used only to provide you with real-time scribing. We adhere strictly to our privacy policy to protect patient information.

    • What happens if I spot an error in the transcribed note?

Clinicians remain in control of final documentation. If you detect a mistake, simply edit the draft. Our Linked Evidence Feature lets you compare the transcript with each line in the note to make corrections quickly and confidently.

    • How does Notatio Copilot integrate with EHR systems?

We offer direct integrations with most major EHRs. You can export finalized notes instantly or sync them in the background, depending on your practice’s workflow. Our support team assists you in setting up a seamless connection.

    • How secure is the data transmission?

All data transmission is end-to-end encrypted. We use TLS 1.2+ for in-transit data and AES-256 for at-rest data. Our servers meet industry-standard security protocols, and we perform continuous monitoring to maintain the highest security levels.
